The terms below set out how we look after you and how we work together throughout your care with us.
Your treatment plan is prescribed by your treating Dentist and may be presented, discussed and coordinated with you by your Dentist or a member of our treatment coordination team. Written details can be provided to you by email on request. Should your plan require amendment due to radiographic or clinical findings, we will inform you and discuss any changes at your next appointment or via email, telephone, or virtual consultation.
Treatment plans and associated fees are valid for 90 days from the date of prescription. Once a deposit has been placed against your plan, your quoted price will be honoured. If you have any queries regarding your treatment plan, please raise these before appointments are booked.
Certain treatments require a written consent form to be completed prior to commencement. This ensures that the nature of the treatment, aftercare requirements, and any associated risks are clearly explained to you.
You may withdraw your consent to treatment at any time before or during a course of treatment. Where a procedure is already under way, your treating clinician will stop as soon as it is safe to do so. Consent cannot be withdrawn for treatment that has already been completed. Separately, your treating clinician may decline to begin, or may discontinue, treatment where it is clinically appropriate to do so.
Fees for treatment are due on the day treatment is provided. We do not operate a credit or arrears facility. Fees for certain treatments — including Dental Implants and Invisalign® — are collected in staged payments at each visit.
We accept the following payment methods:
Cheque payments are not accepted unless agreed in advance with the Practice Owner. Unpaid accounts may be referred to a Debt Collection Agency or the Small Claims Court, and we reserve the right to recover all costs incurred in doing so.
Finance is available on treatments exceeding £650, excluding Emergency Dental Treatment. A minimum deposit may be required. Finance agreements must be accepted and signed before any treatment commences and before the relevant appointment is booked.
Patient finance is arranged through Tabeo (Tabeo Finance Limited), who introduce you to a suitable lender. Aisha Ahmed trading as Sale Dental Spa is authorised and regulated by the Financial Conduct Authority (FRN 672980) and acts as a credit broker, not a lender. Credit is subject to status and affordability, and is available to UK residents aged 18 and over.
If you wish to cancel treatment after signing a finance agreement, a cancellation fee calculated as a percentage of the total finance amount will be charged.
A deposit is required to secure private treatment appointments and is taken at the time of booking, ahead of your appointment. This is separate from your treatment fees, which are due on the day treatment is provided.

When you attend, your deposit is credited in full against the cost of your treatment. If you fail to attend, or cancel with less than 48 hours’ notice, your deposit will be forfeited; this covers the cancellation charge for that appointment, and no further charge is made. We may also request payment in full before commencing a treatment plan.
We require a minimum of 48 hours’ notice to cancel or reschedule any appointment. When an appointment is scheduled, that surgery time is reserved exclusively for you. Failure to provide adequate notice means that time cannot be reallocated to another patient.
Please note that ‘48 hours’ notice’ means two full business days before your appointment time — not 48 calendar hours from the point of cancellation.
If you fail to attend, or cancel with less than 48 hours’ notice, the following charges will apply:
Where a deposit has been taken for the appointment, the forfeited deposit covers this charge and no further amount is due. Where no deposit has been taken, the charge above applies.
Following a missed appointment or short-notice cancellation, the treating clinician retains discretion as to whether further appointments can be scheduled.
Your dental plan includes a set number of appointments each year. If you fail to attend, or cancel with less than 48 hours’ notice, you may either pay the applicable fee — £1 per minute for appointments under an hour, or £100 per hour for appointments of an hour or more — to rebook, or forfeit that appointment from your annual plan allowance. For example, if your plan includes two examinations and two hygiene appointments a year and you miss one examination, that examination counts as used for the year unless you pay to rebook it.
When you fail to attend, or cancel with less than 48 hours’ notice, that NHS time cannot be reallocated to another patient. To protect availability for all our NHS patients, the following applies:
This does not apply to urgent or emergency care. Anyone in genuine need of urgent or emergency care will always be seen, regardless of attendance history. You may appeal any decision in writing to the Practice Manager.
Children and young people. Where a patient under 18 is not brought to appointments, we follow our safeguarding ‘Was Not Brought’ procedure rather than removing the child from our list. Missed appointments are considered from the child’s perspective, recorded, and where appropriate discussed with the parent or carer and shared with relevant health or social care professionals to protect the child’s wellbeing.
Separately, NHS patients who have not attended any appointment for 2 or more years may be removed from our NHS list, in line with standard NHS practice. If you wish to return after removal on this basis, you will need to re-register, subject to NHS availability at that time.
Following removal for either reason, you may be offered the option to continue or resume your treatment on a private basis, subject to a deposit being taken at the time of booking.
We understand that arriving on time is not always possible. However, if you are more than 5 minutes late for an appointment of 30 minutes or less, you may be asked to reschedule. This is to ensure that all patients receive the full time and care allocated to them.
Car parking is available at the practice; however, spaces cannot be guaranteed. We ask that patients allow sufficient time to park and arrive promptly for their appointment. Parking is entirely at the patient’s own risk. Sale Dental Spa accepts no liability for any loss or damage to vehicles or their contents whilst on or near the premises.
It is essential that you provide a full and accurate medical history, including all current medications, at the outset of your care with us. It is your responsibility to inform the practice of any changes to your personal details or medical history as they arise.
Medical histories are reviewed and updated every 12 months via our patient portal, which will send a form to your registered mobile number and/or email address. Please ensure this is completed before attending your appointment.
Sale Dental Spa offers a 12-month guarantee on fillings, crowns, and bridgework, subject to the following conditions:
An emergency appointment fee will apply in all cases unless the failure occurs immediately following treatment, in which case the treating clinician will use their discretion in adjusting the fee accordingly.
Some treatments carry a guarantee period of less than 12 months. Where this is the case, you will be informed by your Dentist verbally, in writing, or both.
Sale Dental Spa may use images and radiographs of your smile and teeth — not your face or any identifying features — for marketing and educational purposes on the Sale Dental Spa website and in promotional or educational materials. Your name and identity will never be disclosed.
If you do not wish for your images or radiographs to be used in this way, please inform us as soon as possible.
We use your contact details to send you communications relating to your care — including appointment reminders, recall notifications, and important practice updates. These are a necessary part of providing your dental care, and you may be contacted for these purposes by telephone, text message, email, or post.
We would also like to send you marketing communications about our services, offers, and events. We will only send these where you have given your consent. You can withdraw your consent at any time — every marketing message includes an easy unsubscribe option, or you can ask a member of our team to update your preferences.
Sale Dental Spa takes all complaints seriously and is committed to ensuring that every patient has a positive experience. Complaints may be submitted in writing using the Complaints Form available from reception, or by email, by the patient or an authorised representative.
All complaints should be addressed in writing or by email to the Practice Manager, and set out clearly to allow for efficient handling. The relevant email address can be obtained from a member of our front of house team. Every complaint will receive written or email acknowledgement promptly, and we aim to resolve matters within approximately two weeks.
Where a complaint relates to clinical care or associated charges, it will be acknowledged by the management team and referred to the treating Dentist. Please note that Sale Dental Spa acts as a liaison in such cases and does not accept liability on behalf of the treating Dentist.
If you remain unsatisfied following our internal process, you may escalate further. The appropriate route depends on how your treatment was funded:
Sale Dental Spa operates a zero-tolerance policy towards abuse, threatening behaviour, and disruptive conduct directed at our clinical and administrative staff. This includes, but is not limited to, verbal abuse, aggressive behaviour, intoxication, and persistent disregard of our appointment policies following formal warnings.
In any such circumstances, Sale Dental Spa reserves the right to refuse treatment and/or entry to the premises.
Sale Dental Spa accepts no liability for loss or damage to personal property inside or outside the premises. This includes, but is not limited to, electronic devices, personal belongings, and any form of transport used to attend your appointment.
Sale Dental Spa periodically offers promotions on selected treatments. All offers are subject to appointment availability and clinical suitability for the individual patient.
All patient personal data is stored securely in accordance with the Data Protection Act and UK GDPR. Clinical notes, digital radiographs, digital photographs, and all associated records remain the property of Sale Dental Spa.
Copies of records can be provided upon request. A completed Data Protection Request Form is required before any records are released, and an administration fee may be charged.
